Dark Data Transformation

Data ChaosActionable Intelligence Lifecycle

Data is being created at a staggering pace. Too much data creates information overload for enterprises and organizing and storing all of this data is problematic. In addition, companies don’t know how to use all of this data to create insight. The downside of this data chaos is poor customer service, lost productivity and risk of exposing confidential or personal information. What can be done to shed light on this dark data? The following five steps to success will turn your dark data to operational data.

Step 1: Separating Redundant, Outdated & Trivial Data

Virtually all organizations have documents and files spread throughout the company, stuffed into file shares, SharePoint, multiple content management systems, laptops, Google Drive, Dropbox, and more. Convenience has made data organization chaotic. There is a solution. Our enterprise crawler sifts through your data stores and highlights:

  • Redundant Copies of Files
  • Near Duplicates & how Close They are to the Original Document
  • Content with Personally Identifiable Information (e.g. SSN, Lic.#, CCN, DOB)
  • Extraneous Files Such as Logs, Installation, & Temp Files

Eliminating the junk, can clean out 30% or more of this useless data that hides the organization's important operational data.

Step 2: Grouping Like Documents

Besides crawling, our software can group like documents together and even tell you how closely they match. This is equivalent to creating library shelves from a stack of random books!

Step 3: Adding Metadata & Indexes

Our system allows you to create metadata, or data about the data, including retention periods, security policies, and indexes for full-text search. It works in a federated manner under your control on targeted data stores.

Step 4: Intelligent Search

Once the metadata is created and the documents are indexed, you can find documents quickly that meet your criteria by a word or phrase search, or by categories (aka facets). An example search could be a document of type for in the year <2016>. Faceted search can be very powerful.

Step 5: Business Usage

Now that the enterprise's data is organized and searchable, individuals and departments are now empowered to work smarter not harder.
